A COI is proof of policy information, not a new policy

A trucking certificate of insurance is a service document that summarizes selected information about your policy. It may show the named insured, insurance carrier, policy number, effective dates, liability limits, cargo limits and certain requested interests. A broker or shipper uses it to check whether the insurance program appears to meet the contract requirement before assigning work.

The certificate does not rewrite the policy. It cannot remove an exclusion, expand a limit or promise that a loss will be covered. If the request includes wording that needs an endorsement or additional insured status, the agency must review it with the carrier. That is why a COI request should include the actual contract language and not just a last-minute message that says “send proof.”

What the request should include

Send the certificate holder name and address, recipient or broker instructions, required liability and cargo limits, effective date, policy number if known, additional insured or waiver wording, loss payee or lessor details and the deadline. Also say which truck, fleet or policy the request relates to. A complete request gives the policy-services team fewer details to chase.

What brokers and shippers commonly check

Brokers may check primary auto liability, motor truck cargo, policy dates, the named insured and whether the limits match the load or contract. A shipper may request a $100,000 cargo limit, a particular liability limit or an additional insured endorsement. A lender or lessor may request loss-payee or lessor wording for physical damage. These are different requests and should not be treated as identical.

If a request is higher than your current limit, do not ask the certificate to show an amount the policy does not provide. Ask for a coverage review first. The agency can discuss whether the limit, commodity, endorsement or effective date can be arranged with the carrier, subject to underwriting and policy terms.

Certificate timing depends on the request

Do not wait until the load is ready

Check contract insurance requirements when you are negotiating the work. A requested additional insured endorsement, higher cargo limit or special certificate wording may take more review than a standard document. Early notice gives you time to discuss an option before a pickup appointment is missed.

A certificate does not replace a coverage review

Your COI is only as useful as the policy behind it. Review whether the listed vehicle, cargo and authority match the work you are taking. A certificate can show a cargo limit while the commodity is excluded or subject to a sublimit. It can show liability while the contract requires an endorsement not yet arranged. Read the policy and contract together.

Owner-operators, box truck contractors, fleets and independent contractors can each receive different certificate requests. If you are leased to a carrier, the carrier may issue the certificate for its primary liability while you need your own certificate for cargo, physical damage or another policy. Ask who is supposed to issue each document.
